Summary Report

This report contains all the key financial information that is associated with a stocktaking period.

  • Gross Margin %
  • Adjusted Gross Margin% (Calculated after allowances)
  • Potential Margin% - (This gives us an idea of what the kitchen should have achieved)
  • Consumption figures of all foods by department – Beef Pork Lamb Poultry Fish etc.
  • A pie chart by department of all foods consumed during the period.
  • Average daily consumption by department.

Purchases Report

This report contains all food purchases entered by department

  • Each delivery invoice is recorded by name, invoice number and date.
  • Each delivery invoice value is entered by food department. For example, if a delivery invoice has several different foods from different food departments on it, the values of each department are entered separately.
  • Foods Credits applicable to the time frame are entered as a negative figure.

Stock Report

This report contains the itemised product list of all food products currently in the business.

  • Products are listed by name, brand, supplier, size and unit value.
  • Department values are calculated by section.

Sales Mix

This report contains all the PLU sales of each individual dish.

  • All unit sales recorded (These are sourced from till reports)
  • The cost price of each dish.
  • The selling price of each dish.
  • The potential margin associated with each dish.

Price Comparison

It’s clear that different kitchens carry different products associated with the style and influence of their menus. In fact, kitchens have access to 1000’s of products from a large selection of food suppliers and this range of products is always increasing.

However, most kitchens have a core number of products that are common place, these form a very important part in the overall profitability of a food business. I call these the “drivers” If we are influence the cost price of these “drivers” then we can make a real effect on driving margins forward. Targeting a selected group of products and monitoring any prices changes can be very effective.

Cost-Price Analysis

Each week we carry out a cost price analysis on behalf of several food retailers. It takes the shape of creating a shopping basket of products from the existing price file and asking another food supplier (who are not currently suppling the kitchen) to quote for the business bases on the selection of products I have supplied. This is a blind test as I don’t supply the original cost prices.

This is also a great way of keeping suppliers active in ensuring these best prices are always on point.

Sample Pie Chart

The pie-chart below is a picture of a sample food business. It shows the consumption by department of all food categories. This is a great information tool, as it highlights where consumption has increased or decreased during a particular period. By comparing the consumption each month, we can quickly find associated problems and fix them.
